Terms of Service
Effective September 2026
These Terms of Service govern reservations and services provided by Stephanotis in Bloom, LLC (“Stephanotis in Bloom,” “we,” “us,” or “our”). By making a reservation, submitting payment, or using our services, you agree to these Terms of Service and our Reservation, Cancellation & Refund Policy.
1. Our Services
Stephanotis in Bloom provides curated mobile flower bar experiences for private events, celebrations, corporate gatherings and other occasions.
Our services may include floral sourcing, flower conditioning and preparation, flower bar styling, delivery, setup and related services described in your reservation or final invoice.
Flower bars are designed as a self-guided guest experience unless otherwise specifically agreed in writing.
2. Reservations
Reservations are subject to availability.
A $120 reservation deposit is required to reserve an available event date. A reservation is not considered confirmed until payment has been successfully processed and confirmation has been issued by Stephanotis in Bloom.
The reservation deposit is applied toward delivery and setup and is subject to the terms of our Reservation, Cancellation & Refund Policy.
Flower bars have a 15-bouquet minimum.
We recommend reserving your flower bar at least 10 days before your event to allow adequate time for floral sourcing and preparation. Reservations requested with less notice may be accepted at our discretion based on availability.
3. Pricing
Flower bars currently start at approximately $35 per guest, with a 15-bouquet minimum.
Displayed starting prices are estimates and are not a guarantee of the final event total.
Your final price may depend on factors including:
- Bouquet quantity
- Floral selections
- Seasonal flower availability
- Delivery location
- Setup requirements
- Applicable taxes
- Additional services or special requests
Stephanotis in Bloom will provide your final event total after reviewing your reservation details.
4. Payment
The $120 reservation deposit is collected at the time of booking.
The remaining event balance is due according to the payment terms communicated with your final invoice and must be paid in full before delivery and setup.
If payment is not received by the applicable deadline, Stephanotis in Bloom may be unable to purchase flowers or fulfill the reservation.
All prices are subject to applicable sales tax.
5. Color Stories and Floral Selection
Our color stories are designed to establish the overall palette and creative direction of your flower bar.
Images displayed on our website are for color and style inspiration and do not represent an exact flower recipe.
Flowers are natural, seasonal products. Specific varieties, sizes and shades may vary due to season, weather, market conditions and supplier availability.
By booking Stephanotis in Bloom, you authorize us to make reasonable substitutions when necessary while maintaining the overall color story and aesthetic selected for your event.
Exact flower varieties or exact color matches are not guaranteed unless separately agreed in writing.
6. Custom Color Requests
When Custom Colors are selected, we will use the colors or inspiration you provide to guide floral sourcing.
Wedding colors, school colors and other requested shades will be matched as closely as reasonably possible using seasonally available flowers.
Because flowers are natural products, exact color matching cannot be guaranteed.
7. Event Details
The customer is responsible for providing accurate information regarding:
- Event date
- Event start time
- Event location
- Bouquet quantity
- Selected color stories
- Venue access information
- Relevant delivery or setup instructions
Please notify Stephanotis in Bloom promptly if any of this information changes.
Changes requested after flowers or supplies have been ordered may result in additional charges or may not be possible to accommodate.
8. Bouquet Quantities
The bouquet quantity selected during booking is used to begin planning your event.
Requests to increase quantities will be accommodated when possible, subject to floral availability.
Quantity reductions are subject to the deadlines and conditions contained in our Reservation, Cancellation & Refund Policy.
The 15-bouquet minimum remains applicable to all flower bar reservations.
9. Delivery and Setup
The customer is responsible for ensuring that Stephanotis in Bloom has safe and reasonable access to the event location at the agreed delivery and setup time.
This includes obtaining any required venue permissions and providing accurate access, parking, loading or contact information when necessary.
Stephanotis in Bloom is not responsible for setup delays caused by:
- Inaccessible venues
- Incorrect addresses or instructions
- Venue restrictions
- Delayed access
- Events already occupying the designated setup area
- Other circumstances outside our reasonable control
Significant changes to delivery location, timing or access requirements may result in additional charges.
10. Customer and Venue Responsibilities
The customer is responsible for confirming that the venue permits the flower bar and related setup.
A reasonably safe and appropriate area must be available for the flower bar.
The customer and guests are expected to use floral materials and any Stephanotis in Bloom property responsibly.
Flowers and greenery are intended for decorative purposes and are not intended for consumption.
11. Care of Flowers
Fresh flowers are perishable natural products.
Once the flower bar has been delivered and made available for the event, environmental conditions such as excessive heat, direct sunlight, freezing temperatures, lack of water or improper handling can affect flower quality and longevity.
Stephanotis in Bloom cannot guarantee the condition or vase life of flowers after they have been subjected to conditions outside our control.
12. Photography and Website Images
Images on our website, social media and marketing materials may show previous events, styled examples or representative floral designs.
These images are intended to communicate the Stephanotis in Bloom aesthetic and should not be interpreted as a guarantee that a future event will contain identical flowers or arrangements.
We will not use identifiable photographs of customers or private event guests for promotional purposes without appropriate permission.
13. Cancellations and Rescheduling
Cancellation, refund and rescheduling terms are governed by our separate Reservation, Cancellation & Refund Policy, which is incorporated into these Terms of Service.
By completing a reservation, you acknowledge that you have reviewed and accepted that policy.
14. Weather and Events Outside Our Control
Stephanotis in Bloom is not responsible for delays, changes or inability to perform caused by circumstances reasonably outside our control, including severe weather, natural disasters, transportation disruptions, government restrictions, venue closures, supplier disruptions or similar events.
When circumstances permit, we will make reasonable efforts to work with the customer on an alternative solution.
Refunds or rescheduling in these circumstances remain subject to our Reservation, Cancellation & Refund Policy and any costs already committed to flowers or event-specific materials.
15. Our Right to Decline or Cancel Service
Stephanotis in Bloom reserves the right to decline a reservation before it has been confirmed.
We may also cancel or discontinue services when circumstances make safe or reasonable performance impossible, including unsafe event conditions, failure to make required payments, material misrepresentation of event details or circumstances outside our reasonable control.
If Stephanotis in Bloom cancels an event for a reason within our control and cannot provide the contracted service, payments will be handled in accordance with our Reservation, Cancellation & Refund Policy.
16. Limitation of Liability
To the fullest extent permitted by applicable law, Stephanotis in Bloom will not be responsible for indirect, incidental, special or consequential losses arising from an event or reservation.
Our liability for claims relating to a particular reservation will not exceed the amount actually paid to Stephanotis in Bloom for that reservation, except where applicable law requires otherwise.
Nothing in these Terms excludes liability that cannot legally be excluded or limited.
17. Website and Booking Information
We make reasonable efforts to ensure that information presented on our website and reservation system is accurate.
However, occasional errors involving pricing, availability, descriptions or technical functionality may occur.
We reserve the right to correct errors and contact a customer if an error materially affects a reservation.
18. Electronic Communications
By making a reservation, you consent to receive transactional communications related to your event, including reservation confirmations, invoices, payment reminders and event-related correspondence.
Marketing communications are handled separately and may be opted out of according to the instructions provided with those messages.
19. Privacy
Personal information collected through our website and reservation process is handled in accordance with our Privacy Policy.
Payment information may also be processed by third-party platforms such as Shopify and its payment providers according to their applicable terms and privacy practices.
20. Intellectual Property
The Stephanotis in Bloom name, branding, website content, original photographs, graphics and written materials are owned by or licensed to Stephanotis in Bloom, LLC and may not be reproduced or used commercially without permission.
21. Changes to These Terms
We may update these Terms of Service from time to time.
The terms applicable to your reservation are those in effect at the time the reservation is made, unless a later change is required by law or mutually agreed upon in writing.
22. Governing Law
These Terms of Service are governed by the laws of the State of Missouri, without regard to conflict-of-law principles.

By checking the acceptance box during booking and submitting your reservation, you acknowledge that you have read and agree to the terms outlined.
